Updating a Provider's Online Scheduling Availability

If you want to, you can change a provider's online scheduling availability for each treatment they offer. For example, a provider may prefer to take only cleanings and exams after lunch or they may want to set aside blocks of time for emergencies only. If you need to change a provider's Online Scheduling availability for the treatments they offer, follow the instructions below.

Important

Only Admins can access this setup. If you don't see a Practice Settings option, you can ask another Admin at your practice to complete the setup or to change your user role from User to Admin.

Note

Setting a provider's online scheduling availability doesn't mean you're blocking that provider's schedule in Eaglesoft, just that you're restricting the time slots a patient can book with that provider online.

  1. In the left-hand menu, click Settings and select Practice Settings.

  2. Select Online Scheduling, then select the Providers tab.

  3. Click on the provider whose availability you'd like to update. Then select the Scheduling Rules tab.

  4. In Yapi Leap, Online Scheduling availability is set separately for each individual treatment. Start by locating a treatment you need to change the provider's availability for.

    • If the provider offers online-scheduled appointments for this treatment: Make sure the toggle next to the treatment is enabled (orange). Then go to the next step.

    • If the provider does not offer online-scheduled appointments for this treatment: Make sure the toggle next to the treatment is disabled (grey). Then skip to Step 8.

  5. Click the dropdown arrow Down arrow icon. on the treatment to open its settings.

  6. In the Availability section:

    • If you want the provider's availability for this treatment to default to their general availability in Eaglesoft, set the Always Available toggle to right (orange).

    • If you want to set specific days and times that the provider offers this treatment, set the Always Available toggle to left (grey). Then, select the days the provider offers the treatment and the times they offer it on each day.

  7. Optional: Under Operatory, review the selected operatories in which the provider offers this treatment and make any needed changes.

  8. Repeat Steps 4 - 7 for each remaining treatment you need to change availability for.

  9. Click Save. A confirmation message will display at the bottom of your screen letting you know the update was saved. This change is now effective and patients will only be able to schedule online for the provider's selected availability.
