Manually Mass Texting Appointment Reminders

While Yapi Leap's automated Appointment Reminders sends a message for you, we know that from time to time you may need to send an extra reminder out. And for that, you can use Leap's mass texting feature! Follow the instructions below to send a manual appointment reminder to your patients via mass text.

Important

If you want patients to be able to automatically confirm their appointment in Eaglesoft via a text response, you can only send your mass text within the same amount of days you have your automated Confirmation Text Messages set to send. For example, if your automated confirmations are set up to send 3 days prior to an appointment, only send your mass text within 3 days of the appointment date.

Note

Manually sent appointment reminders don't work via 1:1 texting. If you're sending appointment reminders manually, you must use the mass text feature.

  1. From the Leap homepage, select the patients' appointment date from the date picker at the top or, if the patients' appointment is today, click Today.

  2. Select all the patients you want to mass text by checking the boxes next to their names or if you want to text all the patients on the day's schedule, click Select All.

  3. Click Create Mass Text.

  4. Type a message in the text box, making sure to include how patients can confirm. (For example, "Text C to confirm.") As long as patients text back one of the Confirmation Response Options set up in your automated Appointment Reminders, Leap can confirm the appointment from their response.

    Tip

    You can create a text template for this, but you won't be able to add merge tags that include each patient's appointment date and time.

    If you do use a text template and include Patient Preferred Name, Patient First Name, or Patient Last Name merge tags, Leap can only use one name if multiple patients share the same mobile number. In this case, Leap uses the name of the patient who's first alphabetically. For example, if the Bob, Alice, and Tuan share the same mobile number and are included in the mass text, Leap sends one text to the shared mobile number using Alice's name.

  5. Recommended: Add merge tags to your message so your patients know the date and time of their appointment:

    1. Place your cursor where you want the appointment date inserted into your message.

    2. Click the Merge Tag menu and select Appointment Date.

    3. Place your cursor where you want the appointment time inserted into your message.

    4. Click the Merge Tag menu and select Appointment Time.

  6. Optional: Include additional merge tags like Patient Preferred Name to personalize the message and Practice Name, Practice Phone, and Practice Email to include your contact information. Refer to Merge Tags for Text Messages for a complete list of our available merge tags.

  7. Click Send Mass Text. You'll be sent back to the homepage and see a message confirming your mass text was sent.
