Adding a Provider to Online Scheduling

Important

Before adding a provider to online scheduling, check Eaglesoft to make sure they're active and their availability is set up accurately. For additional details about checking provider availability in Eaglesoft, see ???.

When you need to add a provider to Online Scheduling so patients can book an appointment with them, use the instructions below.

To get to your Online Scheduling settings so you can add a provider:

  1. In the left-hand menu, click Settings and select Practice Settings.

  2. Click the Providers tab and scroll the list to find the provider.

    Tip

    Don't see the provider? Click the Refresh button Refresh icon. to have Yapi Leap update your providers list.

  3. Click the provider to open their profile.

Next, you need to select the operatories your provider works in and their availability for each treatment they offer. These Scheduling Rules ensure that patients only see a provider's available time slots when scheduling online. Use the instructions below to configure your new provider's scheduling rules.

  1. Click on the Scheduling Rules tab on the Provider Profile page.

  2. Scan the list to locate a treatment this provider offers.

  3. Click the down arrow Down arrow icon. below the treatment to views its details and make edits:

    1. In the Operatory section, select the operatories in which this providers offers this treatment. (You must select at least one.)

    2. In the Availability section:

      • If you want the provider's availability for this treatment to default to their general availability in Eaglesoft, set the Always Available toggle to right (orange).

      • If you want to set specific days and times that the provider offers this treatment, set the Always Available toggle to left (grey). Then, select the days the provider offers the treatment and the times they offer it on each day.

  4. Click Save. A confirmation message will display at the bottom letting you know the update was saved.

  5. Use the up arrow Up arrow icon. to close the detailed view of the treatment.

  6. Toggle the slider to the right (orange) to enable scheduling for the treatment you just configured. A confirmation message will display at the bottom letting you know the update was saved.

  7. Optional: Click the calendar icon Appointment availability icon. to see an example of the provider's available appointments for the treatment you configured.

  8. Repeat steps 3 - 7 for each treatment the provider offers.

In the Provider Settings Tab, you can set the age range for patients the provider sees and change their booking capacity if they're able to see multiple patients within the same time slot. Use the instructions below to edit these settings.

  1. Click on the Settings tab on the Provider Profile page.

  2. Select the provider's booking capacity:

    • Single booking - The provider can only be scheduled to see one patient at a time.

    • Double booking - The provider can be scheduled to see a maximum of 2 patients at a time.

    • Multiple booking - There is no limit to the number of patients a provider can be scheduled with at any given time.

  3. In the Treats Patients Ranging From section, set the minimum and maximum age of patients this provider sees.

  4. Click Save Settings to save your changes. A confirmation message will display at the bottom letting you know your updates were saved.

  5. At the top of the page, click Go Back to Online Scheduling.

Use the instructions below to complete the final step to adding a new provider for online scheduling.

  1. From the Online Scheduling settings page, click the Providers tab.

  2. Locate the provider within the list.

  3. At the end of their row, toggle the slider to the right (orange) to make this provider available for online scheduling. A confirmation message will display at the bottom of your screen, confirming your update was saved.
