Texting a Patient

Ready to text a patient? Yapi Leap is flexible so you have options. 😁 Click one of the links below to learn how to send a text.

To text a patient from the homepage, follow the steps below.

  1. From the Leap homepage, find the patient you want to text. If you're on today's schedule, you may need to navigate to the In Office or Checked Out tabs to find them.

  2. Click the 3-dot icon 3-dot icon. for the patient you want to text (at the end of their row).

  3. Select Text patient. You'll be directed to the Text tab on the patient's profile.

  4. Type a message to the patient in the text box at the bottom of the page or click the Text Template icon Text template icon. to use a pre-made template.

  5. Hit Enter or click the Send icon Send icon. to send the text.

Warning

If you send an appointment reminder via direct message and they confirm via text, their appointment won't automatically confirm in Eaglesoft like it would if sent by mass text or the automated Appointment Reminders system.

To text a patient from the Text Messages page, follow the steps below.

  1. In the left-hand menu, click Text Messages.

  2. Click Compose Text.

  3. In the To field, enter the patient's name or phone number then click search Search icon. or hit Enter on your keyboard. Once you see the patient you want to message, click to select them.

  4. Type a message to the patient in the text box (bottom right) or use a pre-made template. You can also use the 3-dot icon 3-dot icon. to insert a merge tag if you like.

    Caution

    Always keep your texts short and sweet!  Some phone carriers limit the number of characters per text and split texts longer than 160 characters into pieces. If you add a link to the end of your text, this split can break your link and we wouldn't want that!

  5. Hit Enter or click the Send icon Send icon. to send the text.

Warning

If you send an appointment reminder via direct message and they confirm via text, their appointment won't automatically confirm in Eaglesoft like it would if sent by mass text or the automated Appointment Reminders system.

If you need to text multiple patients at once - for example, if you need to alert them to a parking change due to construction, let them know your office is closed because of bad weather, or ask them to reschedule when a provider is out sick - you can easily create a mass text from Yapi Leap's homepage. To text multiple patients from the homepage, follow the steps below.

You can use the mass texting feature to manually remind patients about their appointment and they can confirm the appointment from your mass text if:

This will confirm their closest future appointment.

  1. From the Leap homepage, select the patients' appointment date from the date picker at the top or, if the patients' appointment is today, click Today.

  2. Select all the patients you want to mass text by checking the boxes next to their names or if you want to text all the patients on the day's schedule, click Select All.

    Note

    If you're mass texting patients on today's schedule, you can only text patients who haven't arrived yet. Mass texting is not available in the In Office or Checked Out tabs.

  3. Click Create Mass Text.

  4. Type a message to the patient in the text box at the bottom of the page or click the Text Template icon Text template icon. to use a pre-made template.

    Caution

    We recommend keeping your messages short and sweet (160 characters or less) so they stay within a single text. (Some carriers like T-Mobile split longer texts into multiple messages.) Use the character counter in the bottom left corner of the text editor to guide you.

  5. Click Send Mass Text. You'll be redirected to the homepage with a message at the top saying the mass text has been sent. You'll also have the option to view the text message.

Follow the instructions below to mass text multiple patients with the same appointment date from the Text Messages page.

  7. Click Send Mass Text. You'll be redirected to the homepage with a message at the top saying the mass text has been sent. You'll also have the option to view the text message.

  1. In the left-hand menu, click Patient Communication and select Text Messages.

  2. Click Text Appts. This will automatically open the Leap homepage with your schedule.

  3. On the Appointments page, select the appointment date.

  4. Optional: Filter the recipients for this message by selecting an Appt Type, Patient Type, and/or Provider.

  5. Just above your list of patients, click Select All to select all the patients in the list or select the checkbox next to each patient you want to send your text to.

  6. Click Create a Mass Text.

  7. If any of the patients included in the mass text have opted out of texting, you'll see a prompt asking if you want to do a one time override and include the patient in the text.

    1. Click Override for any patient that you'd like to include in your mass text. Note that this will not change their opt out settings; they'll only receive a text this one time.

    2. Click Continue to Mass Text.

  8. Type a message to your patients in the Text Message box or click Select Template to use a pre-made template.

  9. Optional: To automatically include personalized information like patient names or practice information, place your cursor where you want the information inserted. Then, click the Merge Tag menu and select the merge tag you want to include. For example, using the Patient preferred name tag automatically inserts each patient's preferred name so they receive a personalized message. Refer to Merge Tags for Text Messages for a complete list of merge tags you can use.

  10. Click Send Mass Text to send your text to all the patients you selected. You'll see a message right above the filters confirming the message was sent.

  11. Optional: Click View Message to open the Text Messages page and see the text you just sent.

To text your patient from their Profile page, follow the steps below.

  1. From the patient's profile, select the Text tab.

  2. Type a message to the patient in the text box at the bottom of the page or click the Text Template icon Text template icon. to use a pre-made template.

  3. Hit Enter or click the Send icon Send icon. to send the text.

You can easily text your patients right from your search results in the Patient Finder by following the steps below.

  1. On the Patient Finder page, search for your patient. In your search results, click on the 3-dot icon 3-dot icon. for the patient you want to text (at the end of their row).

  2. Select Send text message.

  3. Type a message to the patient in the text box at the bottom of the page or click the Text Template icon Text template icon. to use a pre-made template.
