Online Scheduling

With Yapi Leap's Online Scheduling, your patients can book an appointment all on their own:

  • You control which treatments are available for online scheduling and which types of patients (new, recall, and non-recall) can book them.

  • You choose what times and providers are available for online booking.

  • New and existing patients can schedule via a link or widget you add to your practice website.

  • Patients due for a recall appointment get a unique link in their Recall Reminders to book only the treatment they're due for.

Appointments book straight to Eaglesoft, saving your team time and giving your patients the freedom to schedule when it's most convenient for them.

To get to the Online Scheduling page, click Settings > Practice Settings > Online Scheduling.

Important

Only users with Admin privileges can access this page.

To get to the Appointments tab of Online Scheduling, click Settings > Practice Settings > Online Scheduling > Appointments.

Operatories

Here, you can configure which operatories your want to have available for online-scheduled appointments.

Treatment Details

By clicking here, you can set up which treatments you want patients to be able to book online and which types of patients (new, existing, or recall) can schedule them.

Accepted Insurance

Here, you can select which insurance providers your practice accepts.

To get to the Provider tab of Online Scheduling, click Settings > Practice Settings > Online Scheduling > Providers.

List of Providers

This list on the Providers tab syncs with Eaglesoft, displaying all your active providers. Here, you can make a provider available (or not available) for online scheduling and click on their name to get to their Provider Profile page.

On each Provider Profile page, you can set up a provider's Online Scheduling settings within the Bio, Scheduling Rules, and Settings tabs.

Bio Tab

Here, you can set the name that shows for a provider when patients schedule online and write a bio that appears if a patient wants to know more about them when scheduling online.

Scheduling Rules Tab

Here, you can configure the treatments a provider can be booked for and when they're available for appointments booked via online scheduling.

Settings Tab

Additional settings here allow you to set the ages of patients a provider sees and whether the provider is available for single, double, or multiple booking.

To get to the General Settings tab of Online Scheduling, click Settings > Practice Settings > Online Scheduling > General Settings.

General Settings

This toggle enables Online Scheduling (once you click Save at the bottom of the page). When toggled on, it reveals additional settings on the General Settings page.

Scheduling Link

Once you've clicked Save at the bottom of the page, this section contains a link you can add to your practice website for patients to access Online Scheduling. You can also click Generate Widget to reveal code that your web developer can add to create an Online Scheduling widget on your practice site.

Three.

Same Day Scheduling for Emergency Treatment

Toggling this setting on allows patients to schedule any treatment with the word "Emergency" in the name same day.

Four.

Block Scheduling

Enabling Block Scheduling tells Leap to enforce any OnSchedule Templates you have set up in Eaglesoft.

Five.

Automated Appointment Booking Staff

When a patient books an appointment online, this staff member shows as the person that booked the appointment. You can select any staff member from the dropdown menu as your Automated Appointment Booking Staff.

Six.

Child Age Limit

Here, you can select the age limit for patients that can book online.

Seven.

Insurance Options

Toggling this option on reveals additional settings for how you want to collect insurance information from patient and whether you accept HMO and PPO insurances for online-scheduled appointments.

Eight.

Patient Type

Here, you can select which types of patients can schedule online - new patients, existing (non-recall) patients, and/or recall patients - set how far ahead they can schedule, and add additional verification settings for new patients.
