Recall Reminders

Yapi Leap's Recall Reminders send out automatically to your active patients and are based on their Continuing Care due date in Dentrix and Leap keeps reminding them until they schedule an appointment, up to 2 years past their due date. That's a win for everyone: patients keep up with their dental checkups and you get more appointments on the books! It's also a great opportunity to reengage patients you haven't heard from in awhile and who could use a little nudge to let them know their overdue.

Recall Reminders Overview

Parts of the Recall Reminders Tab on the Patient Reminders Page

To get to the Recall Reminders tab of the Patient Reminders page, click Settings > Practice Settings > Patient Reminders > Recall Reminders.

Only users with Admin privileges can access this page.

One.

Recall Types to Manage

Here, you can select all the Continuing Care Types in Dentrix that you want Leap to send reminders for.

We recommend selecting Prophy and Perio.

Two.

Before Due Date

This reminder sends up to 90 days before a patient's Continuing Care due date in Dentrix and reminds them they need to schedule an appointment to keep up with their dental health. By default, Leap sends a text reminder 7 days before the due date at 2pm.

Three.

Past Due Date

These reminders send after a patient's Continuing Care due date in Dentrix has passed. By default, these start sending at 60 days past a patient's due date and send again every 60 days for up to 2 years.

Some Things You Should Know About Recall Reminders

  • Send time: All recall text reminders send at 2pm daily.

  • When recall reminders stop: Once a patient schedules their continuing care appointment, recall reminders stop automatically.

  • Scheduling online: If your practice uses Online Scheduling, patients can click a link in their reminder to schedule their recall appointment online.

  • Active patients only: Reminders only send to patients considered active, so that's only patients listed as Active or Non-Patient in Dentrix.

  • Text reminders: All text reminders automatically send to a patient's mobile number in Dentrix. If there's no mobile number listed, Leap will use the patient's home number and if no contact number is listed, will defer to the contact info for the patient's Head of Household.

  • Pediatric patients: In order for pediatric patients to receive reminders, you can either:

    • Enter the parent's phone number and email in the patient's file in Dentrix, OR

    • Leave the minor patient's phone number and email blank in Dentrix and make sure their parent is listed as Head of Household. Leap will use the head of household's contact information when sending reminders for minors.
